How the calculation works (formula & example)
This calculator takes your Start Time, your Billable (Therapy) Minutes, a target Productivity %, and an optional Lunch / unpaid break, then computes your Total Time Worked and your Perfect end time.
Formula
- Billable minutes = the minutes of therapy you must complete (this is your input).
- Productivity % = Billable minutes ÷ Total time worked × 100.
- Total time worked = Billable minutes ÷ (Productivity % ÷ 100).
- Perfect end time = Start time + Total time worked.
- End time including lunch = Perfect end time + Lunch minutes.
Notes: "Total time worked" includes both billable and non-billable time (documentation, transitions, etc.). Unpaid breaks (like lunch) are added after the computed end time.
Example
- Start time: 8:00 AM
- Billable (therapy) minutes: 306
- Productivity target: 85%
- Lunch minutes: 30
- Total time worked: 306 ÷ 0.85 = 360 minutes (6 hours 0 minutes)
- Perfect end time: 8:00 AM + 6 hr 0 min = 2:00 PM
- End time including lunch: 2:00 PM + 30 min = 2:30 PM
Calculations are minute-precise. If a decimal minute occurs, the fractional part is truncated (rounded down) so the computed end time may be slightly earlier than the exact target.
Frequently Asked Questions
Should lunch be included in productivity?
No. Productivity is based on billable minutes versus total time worked. Unpaid lunch does not count toward worked time, so it is added after the computed end time.
What if my lunch is paid?
If lunch is paid, it counts toward worked time. Leave the lunch field at 0 and use your normal productivity target.
What about two short breaks?
Add them together in the lunch field if they are unpaid, or leave them out if they are paid.
Does lunch change my productivity %?
No. The productivity % is still calculated from billable minutes and total time worked. Lunch is added after the perfect end time.
Why does the end time move later when I add lunch?
Lunch is time you are away from billable and non-billable work, so it extends your day without changing the work minutes.
Can I use this for non-therapy roles?
Yes. The math works for any role that uses billable minutes and a productivity target.
